How we would give a property manager 30+ hours a week back.
This is not a client case study. We have not built this for a property manager yet, and pretending otherwise would be the first thing you should not trust us on. It is the architecture we would propose on day one, with the numbers we would hold ourselves to.
The example company: a three-person office managing about 400 residential units, running on a mainstream PMS with a lot of email, portal messages and phone calls around it.
Where the week actually goes
Industry surveys in 2025 put maintenance coordination at about 40% of a property manager's hours, and more than 80% of managers coordinate repairs themselves. The rest of the week is the messages around it.
What is left afterwards
The remaining sixteen hours are the part that should stay human: the difficult tenant, the contractor who needs managing, the owner who wants to talk, and every judgement call about money.
The architecture
Intake
Maintenance requests, portal leads, tenant messages and owner emails land in one queue from every channel: email, portal, SMS, phone transcripts. Nothing is dropped, nothing is auto-closed.
Triage
Each maintenance request is classified by trade, urgency and likely cost, with photos read and the tenancy history attached. A leak above an electrical panel is escalated to a person in seconds, not queued.
Grounded answers
Tenant and owner questions are answered from the PMS, the tenancy agreement and the work order, with the source shown. If the answer is not in the data, the system says so and hands over.
Scheduling
Contractor slots, viewing slots and inspection slots are booked against live calendars. Reschedules are handled, and every change is written back to the PMS.
Human handover
Low confidence, complaints, legal language, vulnerable tenants and anything touching a deposit dispute route straight to a named person. The handover is a designed path, not a failure state.
Outputs
Work orders with everything a contractor needs, owner statements drafted from real data, arrears sequences with sign-off, and a weekly view of what is stuck and why.
How we would prove it works
This is the part most AI projects skip, and it is the reason most of them quietly stop being mentioned.
Before anything goes live, we replay your last 200 maintenance requests through the system and compare its triage to what your best coordinator actually did. Trade, urgency, contractor. One question decides it: does it match your coordinator on at least nine in ten, and never miss an emergency?
If it does not, it is not ready. The same replay runs on every change afterwards, so an improvement to plumbing triage cannot quietly break the way it handles a gas smell. You get the score, not a demo.
What it costs, and what it returns
Saved hours are only half of it. A request that is triaged in a minute instead of a day is a tenant who renews, and a unit that turns over faster is a unit that is not empty.
Every number on this page is an assumption until we look at your data. The first thing we would do is replace them with yours, in a paid one-week audit, and tell you honestly if the case does not hold.
